Will the eBox Enterprise become mandatory for businesses in 2026?

Will the eBox Enterprise become mandatory for businesses in 2026?

The digitization of communication between businesses and the government has been underway for years, but 2026 could be a turning point. The federal coalition agreement states that eBox Enterprise must become mandatory for all Belgian businesses this year. Originally, this obligation was planned for January 1, 2025, but that deadline was pushed back to 2026.

However, it remains to be seen. Despite the ambition in the coalition agreement, no law has yet been officially published that confirms the obligation. Whether 2026 will actually be the year in which eBox Enterprise becomes mandatory therefore depends on the legislative agenda for the coming months.

Government agencies are already taking the lead

While we wait for legislation, various government agencies are already taking matters into their own hands. They are increasingly choosing to communicate exclusively via eBox Enterprise.

FPS Finance: fully digital since November 2025

The FPS Finance has taken the most far-reaching step. Since November 1, 2025, the tax authorities have been sending all documents exclusively digitally via eBox Enterprise to companies that have opted for digital communication. Paper mailings have been discontinued, with the exception of legally required registered letters—but even those will eventually go digital.

This means that tax assessment notices, VAT notices, tax assessments, and other tax documents will only be delivered via eBox Enterprise. Anyone who does not check their eBox regularly therefore risks missing important deadlines.

FPS WASO: at the forefront of the digital switch

The FPS Employment, Labor, and Social Dialogue (WASO) announced that, as of March 1, 2025, it will send all correspondence with companies exclusively via eBox Enterprise. Only registered letters will still be sent on paper. This includes communication about labor legislation, labor regulations, and social inspection.

RSZ/ONSS: all payment documents digitized

The National Social Security Office (RSZ/ONSS) has digitized all payment documents and sends them via eBox Enterprise. These include payment reminders, overviews of payment plans, quarterly declarations, and social security contributions.

Growing list of senders

In addition to these major players, more and more provinces, municipalities, and other government agencies are using eBox Enterprise for their official communications. The list is constantly growing, making the digital mailbox increasingly central to the daily operations of businesses.

Why going fully digital is often more convenient

The shift to eBox Enterprise is more than just an administrative obligation. It offers concrete benefits for companies that want to streamline their processes.

A fully digital approach means that all official communications end up in one place, without the risk of lost mail or forgotten documents in a pile of paper. Documents are searchable, archiving is automatic, and you have access to your important government communications from anywhere.

But anyone who has an eBox also knows that it often remains an extra environment that you have to check. A notification in your mailbox is nice, but you still have to log in, search for the right document, and then forward it to the right colleague.

Especially if you receive a lot of messages or have several companies, Boxflow is your ideal assistant. Boxflow automatically retrieves the documents from your eBox Enterprise and delivers them to the right people in your organization.

What's more, Boxflow builds a searchable online archive in which all government communications are perfectly organized. No more searching through mailboxes or folders: everything can be found in seconds. And because everything is digital and automatic, nothing can be lost.

Prepare now

Whether or not the obligation becomes official in 2026, the direction is clear: digital communication with the government is becoming the norm. Government services are increasingly focusing on eBox Enterprise, and companies that do not yet have an active eBox will have to switch sooner or later.

The question is no longer whether eBox Enterprise will become mandatory, but when. And whether you will continue to manage your eBox manually or opt for an automatic solution that takes care of everything for you.
