Meet every deadline

15 days to identify the driver? Handled on day one

Some government messages come with short legal deadlines. If such a message sits unread in a shared eBox for a few days, or travels between departments for a week or two, the deadline can easily pass – resulting in fines or lost rights of objection.

  • Boxflow checks for new messages every hour.
  • Smart automations send every message straight to the person or team that needs to act on it.
  • With assignment, statuses and an audit trail, you see at a glance what is still open.

Good to know

When an offence is committed with a car registered to a legal entity, the company must identify the driver within 15 days. If it does not, it risks a fine that, according to legal sources, starts at no less than €4,000 – even if the traffic fine itself was paid.

How it works

Boxflow automates your government mail

Boxflow connects to the eBox Enterprise and MyMinfin of every company you add and fetches new messages every hour. Each message passes through your automations, which decide where it goes: the Boxflow portal, a mailbox or one of the tools you already use.

Confidentiality

Confidential messages, only for the right eyes

Anyone with access to a company's eBox can, in principle, see every message. Since documents from the FPS Finance are delivered directly into eBox Enterprise, that now includes reminders, fines, VAT details and garnishments that used to be visible only in MyMinfin.

  • With advanced user permissions (Pro), you decide per user which companies they can access, and whether they only see the messages assigned to them or their team.
  • Automations deliver sensitive messages straight to the right person, and an audit trail shows what happened to them.

Easy set-up

One last login with eID or itsme

Connecting a company takes a few minutes. You log in one last time with eID or itsme to give Boxflow access, and from then on we sync the messages hassle-free.

  1. 1 Create your account Sign up for free, no credit card required.
  2. 2 Connect your companies Our step-by-step wizard guides you through the last eID or itsme login in eBox Enterprise and MyMinfin.
  3. 3 Set up your automations Decide who receives which messages. We sync every hour from then on.

Security

Built for confidential government communication

Your government messages contain sensitive information. That is why security is not an add-on at Boxflow, but the starting point.

Regularly tested by ethical hackers

Boxflow is regularly penetration-tested by independent ethical hackers.

Read-only access

Our access is limited to reading messages. Boxflow cannot send, sign or file anything on behalf of your company, and never deletes messages from your eBox.

Secure keys per customer

For eBox Enterprise, every customer uses its own certificate. All data is exchanged through short-lived, secure tokens – never with your eID or itsme.

Encrypted and in the EU

Attachments are stored encrypted (AES-256) and your data stays within the European Union.

Frequently asked questions

How do I make sure traffic fines from eBox reach the fleet manager immediately?

Set up an automation that forwards messages based on sender, message type or subject to your fleet manager or fleet mailbox. Boxflow checks for new messages every hour.

Within what time limit must a company identify the driver of a company car?

Within 15 days of the request for information being sent (art. 67ter of the Belgian Road Traffic Act). That is why such messages must not linger in a shared eBox.

Can fines flow into our fleet software automatically?

Yes, through our official Make app, or through webhooks and our REST API for a custom integration.

Does this also work for cars spread across several companies?

Yes. You connect all companies to Boxflow and filter by receiving company where needed.

Will everyone see all fines?

Not unless you want them to. With the advanced user permissions of the Pro plan, you decide per user which companies and which assigned messages they can access.

Do I need to set up Boxflow myself?

You can, but you don’t have to. Most customers set up Boxflow themselves: our wizard guides you through the last login with eID or itsme, and we keep every step as user-friendly as possible. Prefer a helping hand? Book a video call or an in-person meeting and we set up the connection with eBox Enterprise and MyMinfin, and your automations, together.
