Government letters straight into Billit

Billit gives every file unique email addresses for its Quick entry. Boxflow sends each eBox Enterprise and MyMinfin message there, so you can process it straight away.

What you need

  • A Boxflow account with at least one connected company.
  • A Billit account with access to the Quick entry.
  • The unique email address of your Billit file.

How it works

  1. 1

    New message

Boxflow fetches a new message from eBox Enterprise or MyMinfin.

  2. 2

    Email automation

A Boxflow automation emails the message, with its PDF, to the unique Quick entry address of your Billit file.

  3. 3

    Billit

The document appears in the Quick entry, ready to be processed or approved.

Set up the email action in Boxflow

  1. 1

Look up the email address in Billit

Copy the unique Quick entry email address of your file (see “Where to find your Billit email address” below).

  2. 2

    Create an automation

In Boxflow, go to Automations and create a new automation. Add conditions so only the right messages go to Billit, for example one company.

  3. 3

Add a “Send by email” action

Enter the Billit address as recipient and switch on “Include attachments”: Billit processes the attached files. Use placeholders in the subject, such as {{ company.name }} and {{ message.subject }}.

  4. 4

    Test

Reprocess the automations of an existing message in Boxflow and check the Quick entry in Billit.

Where to find your Billit email address

  • Billit automatically creates two unique email addresses per file for the Quick entry: one for files that should not be split and one for files that should be split per page.
  • Use the “don't split files” address for Boxflow: government letters often have several pages that belong together.
  • You find these addresses and the related settings in Billit under Settings › General, in the Quick entry section.
  • Several companies? Each Billit file has its own addresses, so create one automation per company in Boxflow.

Archive, or process as expenses?

  • Documents emailed to the Quick entry land in the “To process” tab, or in the “Approve” tab if you enabled that option, so you can decide per document.
  • Most government letters, such as tax assessments, are not purchase invoices: only send what you want to process in Billit, such as payment requests.
  • Use separate automations with conditions on sender or subject to send only the relevant messages.

Tips

  • An email without attachment is forwarded by Billit to the email address in your company details, so always switch on “Include attachments” in Boxflow.
  • Every email sent by an automation is recorded in the audit trail of the message in Boxflow.

Frequently asked questions

Does Boxflow have a native Billit integration?

Not yet. This email-based approach uses the unique Quick entry addresses that every Billit file has.

Which Billit address should I use?

The “don't split files” address, so multi-page letters stay together.

Will every message become an expense?

No. Documents arrive in the Quick entry, where you decide how to process them.
