How it works

An email action in your automation

Add a “send by email” action to an automation, choose the recipients and you are done. Every matching message is emailed as soon as Boxflow fetches it.

Write your own subject and message, with placeholders that Boxflow fills in for each message.

  • Use placeholders such as {{ company.name }}, {{ sender.name }} and {{ message.subject }}.
  • Make emails easy to recognise and filter in your mailbox.
  • Add instructions, for example who needs to follow up and by when.

Because you choose the recipients per rule, sensitive messages only reach the right people, unlike sharing access to an entire eBox.

  • Payroll documents to HR, tax letters to finance, traffic fines to the fleet manager.
  • For highly confidential documents, send a link instead of the attachment, so access rights and the audit trail apply.
  • Emails are sent by Boxflow from a dedicated sending address.

Can I email messages to people who do not use Boxflow?

Yes. You can enter any email address as a recipient, for example a shared mailbox or your accountant.

Are the documents attached to the email?

If you want. Per automation you choose to attach the documents, include a secure link to the message in Boxflow, or both.

Can I change the subject of the email?

Yes. You write your own subject and text, with placeholders for the company, sender, subject and more.

How quickly is a message emailed?

As soon as Boxflow fetches it. Boxflow syncs every hour, and you can start a manual sync at any time.

Is it safe to send government documents by email?

You decide what is sent and to whom. For highly confidential documents, we recommend sending a link, so the message stays in Boxflow behind your access rights.
